FAQ

Frequently asked questions about Passons AI

What services does Passons AI offer?

Three engagements, matched to scope. The AI Workflow Pilot builds one working tool around one task that costs you real time. Skill Building and Practice gives teams workshops, office hours, and guided practice so staff build lasting habits with AI tools. AI Direction Setting is organizational work: clarifying what leadership wants from AI adoption and building a realistic path that fits how the organization operates. Most clients start with a Workflow Pilot.

How much does an AI Workflow Pilot cost?

Every Workflow Pilot is a fixed fee of $4,500, typically paid by P-card. The engagement is intentionally designed for P-card or expedited purchasing, so most departments can start without a lengthy procurement process. Skill Building and Practice and AI Direction Setting are scoped and priced per engagement.

How long does a Workflow Pilot take?

Approximately two weeks from scope to handoff in most cases. That includes a scoping conversation, a build phase where we assemble the workflow with you, and a handoff session with an executive report your leadership can use.

Do you work with cities, counties, and other government agencies?

Yes. Omar Passons served as Deputy City Manager at the City of San Jose and as a Director in the County of San Diego Health and Human Services Agency. Government departments, nonprofits, school districts, and small businesses are our focus.

Will AI replace the staff who currently do this work?

No. Our position is that AI should empower the people who do the work, not replace them. Pilots are scoped around giving staff time back. If a client's stated goal is workforce reduction, we are not the right partner.

What kinds of workflows are good pilot candidates?

There are many possibilities based on what an individual or team needs. Some examples include repetitive, high-volume work with clear inputs, outputs and quality standards. Grant triage, meeting notes to action items, routine report drafting, intake form summarization, and structured document review all fit well. We help you decide during the scoping conversation.

How do you handle sensitive or confidential data?

We only use paid, non-training AI accounts, so client content is not used to train future models. For work involving sensitive data, we structure the workflow to keep that data inside your environment wherever possible and document exactly what leaves it.

What happens after the two-week pilot?

You own the workflow. We provide the executive report, the working prompts and any supporting files, and a handoff session. Many clients continue with Skill Building and Practice so more of the team can build the same habits, or with AI Direction Setting when leadership wants an organization-wide path. Both are separate engagements.

What is Skill Building and Practice?

Awareness sessions and one-time trainings rarely stick. This engagement is for teams that want lasting habits: how to structure a prompt, how to build a reusable tool for their own workflow, and how to evaluate whether AI is actually helping. It is delivered as workshops, office hours, and hands-on practice sessions that staff can return to.

What is AI Direction Setting?

Organizational work for leaders who want to move deliberately on AI, not chase every tool, and not get left behind either. We clarify where the organization is now, what leadership wants from AI adoption, and what a realistic path looks like given how the organization operates. Omar has led this work inside government and in advisory roles with private and mission-driven organizations.

How is Passons AI related to Passons Consulting?

Passons AI is a project that grew from Passons Consulting, a firm founded by Erin Passons that has been doing leadership and organizational work for over fifteen years. The Workflow Pilot is the entry point. Broader engagements in strategic alignment, organizational development, and executive coaching come through Passons Consulting.
